How to Build an Offshore Team: A 7-Step Guide for UK Businesses

By TalentDock Editorial Team · Updated 24 September 2026 · 11 min read

Quick answer
To build an offshore team: (1) choose the roles to move, (2) pick a model, (3) choose a country, (4) set a budget, (5) recruit and select, (6) put contracts, UK GDPR safeguards and IT security in place, then (7) onboard with a 30-60-90 day plan. Most UK SMEs start with one or two dedicated hires in Asia through a managed provider and grow from there.
Step 1

Choose the roles and work to offshore

Start with work that is repeatable, can be done remotely and has a clear definition of “done”. List tasks your UK team does each week, then mark which need to be done in the UK (face-to-face, regulated sign-off, on-site) and which do not.

Good first roles: bookkeepers, accountants, virtual assistants, customer support, data entry and web developers. Browse all roles we fill.

Step 2

Pick your offshore model

Step 3

Choose a country

Sri Lanka

Strong in accounting (large ACCA and CIMA student base), IT and analytics. 4.5-5.5 hours ahead of the UK, so easy overlap with a UK afternoon. Sri Lanka guide.

The Philippines

Very large, experienced customer support and virtual assistant workforce with neutral English accents; comfortable working UK hours. Philippines guide.

Other options

India for scale in IT and finance; South Africa for UK-time-zone voice work; Eastern Europe if you prefer nearshoring.

Step 4

Set a budget

Budget per seat per month, all-in: salary, statutory contributions, benefits, equipment, workspace, management and replacement. A UK hire on £27,000 costs roughly £2,900 a month once 15% employer NICs, pension and overheads are added. TalentDock seats cost £1,195, £1,695 or £2,295 a month depending on the role’s seniority. See pricing.

Step 5

Recruit and select

Write a clear job description with tools and outcomes, then screen for skills with a practical test, not just a CV. Interview for communication and problem-solving on video. A good provider sends a shortlist of pre-vetted candidates and you choose. Templates: job description and interview questions.

Step 6

Set up contracts, data protection and IT

  • A managed-services agreement covering confidentiality, IP assignment, service levels and replacement.
  • A UK GDPR data processing agreement plus the ICO’s IDTA or UK Addendum and a transfer risk assessment for countries without adequacy, such as Sri Lanka and the Philippines.
  • Managed devices, single sign-on, multi-factor authentication and least-privilege access.
  • Local employment handled by the provider: contracts, payroll, statutory contributions (for example EPF and ETF in Sri Lanka) and benefits.
Step 7

Onboard with a 30-60-90 day plan

Days 1-30: learn

Tools access, shadowing, process documents, first supervised tasks, daily check-ins.

Days 31-60: own

Owns defined tasks end to end, weekly quality review, KPIs agreed.

Days 61-90: improve

Works independently, suggests process improvements, takes on the next responsibility.

Then run the weekly rhythm in our offshore team management playbook.
