How to Write an Offshore Bookkeeper Job Description

A clear job description is what attracts the right offshore bookkeeper candidates and filters out the wrong ones before you spend time interviewing. Use the 6-part structure and sample copy below as a starting template for your own role.

THE STRUCTURE

6 sections every job description needs

1

Role summary & reporting line

One or two sentences on the role’s purpose and who it reports to (you, your accountant, or a finance manager).

2

Core responsibilities

The specific day-to-day tasks: bank reconciliation, AP/AR, expense processing, VAT-ready records — be concrete, not generic.

3

Required software & skills

Name the exact platforms (Xero, QuickBooks, Sage, Dext) and any specific processes (multi-currency, multi-entity) relevant to your business.

4

Qualifications & experience

Minimum years of experience and preferred local qualification or training background.

5

Working hours & timezone expectations

Be explicit about the hours you need covered and the overlap with your UK working day.

6

How to apply

Clear next steps — what to submit and what the process looks like from application to start date.

Summary: We're looking for a dedicated, full-time bookkeeper to manage our day-to-day financial records, working directly in our Xero account and supporting our UK accountant with VAT-ready reporting.

Responsibilities: Daily bank reconciliation; processing supplier invoices and customer invoices; expense and receipt coding via Dext; maintaining accurate, MTD-compliant records; supporting month-end close.

Requirements: 2+ years' bookkeeping experience; demonstrated Xero fluency; strong written English; AAT, IAB, ICB or equivalent local qualification preferred.

Hours: Full-time, with at least 4 hours' overlap with UK business hours (9am–5pm GMT/BST).

AVOID THESE

Common mistakes to avoid

Vague responsibility lists (“general bookkeeping duties”) attract vague candidates. Skipping the timezone/hours expectation leads to mismatched availability down the line. And not naming your specific software stack means you’ll spend interview time on basic fluency checks instead of assessing real judgement and experience.

FAQ

Common questions

Can I use this template as-is?

Yes — adapt the sample copy to your specific software, responsibilities and hours, and it’s ready to use.

How detailed should the responsibilities section be?

Specific enough that a candidate can picture a typical day — naming the actual tasks (reconciliation, AP/AR, VAT records) rather than generic phrases like “bookkeeping duties”.

Should I include a salary or fee range?

If you’re hiring directly, yes — it improves response quality. If you’re hiring through a staffing partner, pricing is usually handled separately from the JD.

Do I need to write this myself, or can TalentDock help?

TalentDock can help define the role and match you directly with a suitable candidate, without you needing to write and post a job description at all.
